Privacy Policy

This policy explains what information Excellent (“Excellent,” “we,” “us”) collects, how we use it, and the choices you have. Excellent is a platform for managing restaurant groups, operated by Excellent AI LLC, an Arizona limited liability company based in Glendale, Arizona.

1. Information we collect

Account information. When you create an account or sign in — with an email link, a password, or Google — we collect your name and email address, and a unique account identifier.

Content you create. Information you and your team enter into the platform — events, proposals, documents, contacts, schedules, and similar records — is stored so we can provide the service.

Usage and device data. We collect standard log and device information (such as IP address, browser type, and pages viewed) to operate, secure, and improve the service.

Cookies. We use strictly necessary cookies to keep you signed in and to secure the service. We do not use advertising cookies.

2. How we use information

We use information to provide and maintain the service, authenticate you, communicate with you about your account, provide support, keep the platform secure, comply with legal obligations, and improve our features. We do not sell your personal information.

3. Google user data (Limited Use)

If you sign in with Google, we receive your basic profile information (name, email address, and profile identifier) to create and authenticate your account. Excellent’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, and we do not sell it or share it except as needed to provide the service you request.

4. Meta and Instagram integrations

If you connect an Instagram Business or Creator account, we receive that account’s identifier, username, and an access token so we can publish the posts you approve within Excellent. We publish only at your direction, we do not read your direct messages or personal profile, and we do not use Instagram data for advertising or sell it. Disconnecting the account in Excellent revokes the token and stops all further access. Our Meta platform integrations — including the Instagram connection described here — are operated by Ethical Digital LLC, an affiliate under common ownership, acting on Excellent AI LLC’s behalf and subject to the Meta Platform Terms.

5. How we share information

We share information with service providers who process it on our behalf to run the platform — including hosting and database (Supabase, Vercel), email delivery (Resend, Postmark), and payment processing (Stripe) — under agreements that limit their use of it. Our complete, verified list of these subprocessors and the data each one handles is published on our Security page. We may also disclose information to comply with law or to protect the rights and safety of our users and the public.

6. Text messaging (SMS)

What we collect and why. If a guest provides a mobile number and checks the SMS opt-in box on a public inquiry form hosted by Excellent (or texts us first), we collect that number and a timestamped record of their consent. We use it only to send transactional messages about their inquiry or event — inquiry confirmations, event and payment reminders, and private-space hold notices. Excellent AI LLC sends these messages and is named in each one; the restaurant a guest inquired about is identified as the subject of the message. We send no marketing or promotional text messages.

No sharing of mobile data for marketing. Mobile information — including a guest’s phone number and SMS opt-in consent — is never shared with third parties or affiliates for marketing or promotional purposes, and we do not sell it. We share a number only with the service providers that deliver the messages on our behalf (for example, our SMS carrier), solely to send the messages described above.

Frequency, rates, and opting out. Message frequency varies with your inquiry and event. Message and data rates may apply. You can reply STOP at any time to unsubscribe, HELP for help, or START to resubscribe. Consent to receive texts is not a condition of any purchase. 7. Data retention

We retain your account and organization information for as long as your account is active. Business records your organization creates in the platform — events, documents, invoices, contacts, and similar operational records — are archived rather than destroyed when you remove them, so your operational history stays auditable; they remain under your organization’s control.

Some records are kept longer for specific reasons: financial records and the point-in-time financial snapshots we preserve for reporting are retained as long as legal, tax, and accounting obligations require (typically up to seven years); the append-only log of changes is retained for the life of your organization’s account; and marketing opt-out (suppression) records are retained indefinitely so the opt-out keeps being honored.

After an account is closed, we delete or de-identify personal information once these obligations lapse. You can ask us to delete your account and associated personal information as described below.

8. Security

We keep each business’s data separated from every other customer’s, encrypt it in transit, restrict who can access it, and keep an audit log of changes. No method of transmission or storage is completely secure, but we work to protect your information and to respond promptly to any incident.

9. Your rights and choices

Your rights depend on your relationship with Excellent. For your individual account information — your name, email address, and sign-in details — we are responsible directly: depending on where you live, you may have the right to access, correct, export, or delete that information, and to object to or restrict certain processing. To exercise these rights, contact us at the address below. You can also disconnect Google sign-in at any time from your Google account settings.

Business records inside an organization’s workspace — guests, contacts, events, bookings, and similar records — are controlled by the restaurant group that operates that workspace; we process them on its behalf. If you are a guest or staff member of a restaurant group that uses Excellent, please direct requests to access or delete those records to the restaurant group itself, and we will support the organization in honoring them.

10. International users

We operate in the United States and may process information there. Where required, we take steps to ensure information receives an adequate level of protection when transferred across borders.

11. Children’s privacy

Excellent is a workplace tool intended for adults and is not directed to children under 16. We do not knowingly collect personal information from children.

12. Changes to this policy

We may update this policy from time to time. When we do, we will revise the effective date above and, for material changes, provide additional notice. We retain dated prior versions of this policy; to obtain a copy of any prior version, email support@beexcellent.ai.
